HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The office has a team oriented dynamic, however the Administrative Assistant (AA) filling this position will be the primary point of contact for transactional duties associated with the sponsor office database

  • Professional decorum, executive presentation and executive acumen is a must, as well as the ability and desire to engage well with a dynamic and diverse team and have a strong willingness to take on additional duties as directed by management

  • Verbal and written communication is a premium in this position in addition to having critical thinking skills

  • The AA will assist in responding to security questions and issues quickly and efficiently as well as process visitor requests, create billets in a database, analyze biographical information to ensure SOP criteria is met, along with confirmation of security clearances / security approvals and must possess the ability to utilize sponsor databases appropriately and efficiently to ensure accuracy and standards are maintained

  • The AA will also assist in supporting the digitization of current data on organization databases

  • Travel to other sites in the WMA area may be required infrequently and are on a case-by-case basis

  • The Administrative Assistant (AA) must be willing to stay current on clearances as well as ability to maintain access to work on the database

  • The AA must be willing to learn new and emerging database technology as required

  • The AA must have proficiency in Outlook, Microsoft Office, SharePoint, as well as security related databases

  • On-the-job training will be provided to the AA upon arrival to the office

  • It is highly preferred that the A have previous security and sponsor experience

  • The AA will not have a supervisory role, but will be required to cross-train staff officers when they start in the office

  • Verbal and written communication skills are a necessity in this position

  • The Administrative Assistant (AA) must become proficient with sponsor organizational databases

  • Systems will include Sponsor Access tracking system, Sponsor Visitor Access Request System, Sponsor risk management system, and Sponsor personnel security databases

  • They will responsible to answering customers' queries whether through the databases, emails, instant messaging, or walk-up queries

  • The AA may be required to provide basic briefings and understand the onboarding and off-boarding of contractors and staff

  • The AA must possess the ability to identify concerns so that they can triage security issues within specific requests and determine if there are immediate non-concurrence issues within requests that are put forward

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active Top Secret/SCI with Polygraph security clearance

  • The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

  • The Core hours of the position are 0900-1500 with the flexibility to adjust with management approval; 8-hour days are the norm with an average work window between 0700--1800

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

Salary and Benefit Information

The likely hourly rate for this position is between $28.93 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
