HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The candidate will perform duties based on established SOPs and FAQs, but will also need to work with contract and staff team members to critically think through solutions for non-routine cases

  • The Resource will become a certified passport agent, and will need to determine the validity and quality of applications to include photo quality and form integrity

  • This is a customer facing position with customer service being a high priority

  • The position deals with all levels of officers within the organization, and the candidate must be able to exercise judgement to determine the best course of action, and/or engage with Center Leadership when necessary

  • They will need to work in a team environment and be able to triage their own work and their team members work in the event other officers are out on leave

  • The position does not require large volumes of written communication, as most of this is via canned responses

  • However, the candidate may be tasked with assisting in data reviews, updating travel SOPs and other written communications as needed

  • The position requires excellent verbal communication skills

  • There is minimal to no physical requirements for the position as there is seating available even at the hub

  • Infrequent to no travel is required between buildings, however, there are opportunities and requirements to work at the travel hub in Chantilly on occasion, primarily to provide coverage for planned leave and absences

  • Candidate will be required to gain passport agent certification. Candidate will need intermediate knowledge of Outlook, Microsoft Office, and Skype

  • The candidate does not need to have prior experience with Sponsor systems, although this is a plus, but they must be able to learn the systems quickly

  • Candidate will be expected to train new team members as the need arises and they have become proficient themselves

  • There are no supervisory requirements for this position. The candidate will be required to triage multiple competing requirements with end to end task management

  • The candidate will need to provide metrics to management on an ad hoc basis

  • Quality control is a vital part of this position as the candidate will need to review the passport/visa/ID document packages for 100% compliance

  • The candidate will be required to sort, prioritize and distribute mail/lock bag material received from other government agencies which contains outgoing and incoming travel documents

  • The candidate will be required to constantly file, copy and digitize document application packages, and is some cases electronically file them in multiple systems

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active Top Secret/SCI with Polygraph security clearance

  • The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

  • Core hours are 0800-1500 daily; the walk-in hours for the iTravel Hub are daily from 0800-1500; this position would require additional hours beyond 1860, for an FTE of 1.05

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

Salary and Benefit Information

The likely hourly rate for this position is between $28.93 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
