HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant IV, your day-to-day responsibilities will include:

  • The Administrative Assistant IV (AA IV) will provide support to Sponsor office by performing the following duties: The AA IV will manage scheduling and calendars for the two SIS level managers, and serve as the customer focal point for all service calls from the office

  • The office has about approximately 100 other officers that would need a lesser level of support

  • The AA IV will manage the workflow of multiple critical issues within a continuously adapting schedule for the various managers or branches, and should be cognizant of the criticality, sensitivity, and confidentiality of the issues both internally and externally within the Sponsor, Congress, Other Governmental Agencies (OGA's), and the private sector

  • The Administrative Assistant IV (AA IV) should anticipate the needs of the principals, be able to prioritize competing requests, and successfully resolve issues and problems in a timely manner.

  • The Administrative Assistant IV will need intermediate proficiency with the suite of Microsoft Office programs to include Outlook, Word, as well as Share Point

  • It is preferable that the candidate have prior experience with the Sponsor Access Request System, Sponsor Reimbursement System, Sponsor Visitor Request System, Sponsor Internal Communications System, and the Sponsor Procurement System

  • Training will be provided by office on any Sponsor internal systems the candidate is not familiar with

  • The Administrative Assistant IV (AA IV) will be responsible for managing the onboarding new personnel, as well as departing personnel and will assist with reviewing vault access rosters, updating them as needed

  • The AA IV will work to ensure new personnel have adequate furniture, supplies, phone cards, rosters, email accounts, drive accesses

  • The AA IV will serve as vault custodian and submit personnel access requests for new employees i.e. shared folders, group emails, etc. as well as preparing on-boarding packets for incoming officers

  • Additionally the AA IV will manage conference room reservations, maintain phone lists and create phone cards when needed as well as organize the storage room and work with the sponsor support staff to provide announcements to the workforce when needed

  • Together with the EXO the Administrative Assistant IV will participate and assist in establishing, reviewing and approving new processes, methodologies, and procedures for supporting the entire Sponsor Front Office, ensuring an effective workflow and coordination with the Sponsor office staff

  • A critical and primary area of focus for the Administrative Assistant IV (AA IV) will be scheduling

  • The AA IV will be responsible for scheduling meetings for the principals and assisting with the schedule management of the conference rooms

  • The AA IV will have the authority to make changes to the calendar without approval from the principals but this is typically just for scheduling

  • The AA IV will play a very important role in managing the principal's time by applying working knowledge of mission priorities, principal's business area(s) and personal preferences

  • The AA IV will need to have a solid understanding of Sponsor protocol and organizational hierarchy in order to properly screen, vet and prioritize emails, visitors and phone calls

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph security clearance

  • HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience

  • The core hours of the position are 0900-1400 and the AA IV must be available to provide support to events as required

  • Proficient Word, Excel, Outlook, PowerPoint

  • Able to perform duties with minimal supervision and some team interaction

  • This position is on customer site

Salary and Benefit Information

The likely salary range for this position is $107,432 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
